You can specify default exporting options for a document, or prompt users to make these choices. For example:
If your document is grouped, you can choose to export the entire document or only the selected group element. Page-by is the feature that allows users to view the document by a user's currently selected group element. For information on grouping, including examples, see Grouping records in a document; for more information on page-by, including examples, see Using page-by on a document. If the document will be viewed on a Kindle, select Expand page-by so that the Kindle user can see all the data.
If your document contains multiple layouts, you can choose to export the entire document or only the layout currently being viewed by the user. For more information on how layouts are exported to Excel, see Exporting multi-layout documents. If the document will be viewed on a Kindle or Nook, select All layouts so that the Kindle or Nook user can see all the data.
Open the document in Design or Editable Mode.
From the Tools menu, select Document Properties. The Properties dialog box opens.
From the left, click Export.
In the General area, specify whether you want to export all layouts or only the current layout by selecting one of the following:
You can choose to export all layouts or the layout that the user is currently viewing in a multi-layout document:
To export every layout with the document, select All Layouts.
To export the current layout, select Current Layout only.
If your document contains page-by fields, you can choose to export the entire document or only the page the user is currently viewing. Page-by allows users to view the PDF by a selected group element.
To export the entire document, select the Expand page-by check box.
To export only the page currently displayed, clear the Expand page-by check box.
If you want users to be prompted to provide export options each time they export, select the Prompt User on Export check box. The Export dialog box is displayed.
In the Excel area, specify your preferences for exporting to Microsoft Excel:
To embed images in the exported file, click the Embed Images check box.
You can choose to export graphs as live Excel charts or embedded bitmaps in the exported document.
To use live Excel charts, select Use live Excel charts.
To use embedded bitmaps for charts, select Use embedded bitmaps.
In the PDF area, specify your preferences for exporting to PDF:
To include bookmarks in the PDF, select the Include Bookmarks in PDF check box.
To display the bookmarks in the PDF, select the Show bookmarks in PDF check box.
To embed the fonts in the PDF, select the Embed fonts in PDF check box.
To use bitmaps for graphs, select the Use bitmaps for graphs check box.
To reduce the file size of the bitmaps by reducing the quality, select the Use draft quality for graphs check box.
Click OK to apply the changes and close the dialog box.
