Scheduling a report or document to be sent to the History List

A History List is a folder where you can store reports and documents. You can send a report or document to the History List on a specific schedule. For more information on History List, see Viewing report and document results in your History List.

Prerequisite

To send a report or document to the History List on a schedule

  1. Click the name of the report or document to execute it.

  2. From the Home menu, point to Subscribe to, and select History List. The Subscribe to History List dialog box opens.

    : If Distribution Services is not installed and configured, this option is listed in the File menu as Add to History List.

  3. Type a name for the subscription in the Name field.

  4. From the Schedule drop-down list, select a schedule or event. You can create a new schedule in the Desktop Schedule Manager.

  5. Click OK to save and close the Subscribe to History List dialog box. The file will be delivered to the specified History List on the specified schedule.

To verify that you are subscribed to the report or document, at the top of the page, click My Subscriptions. The subscription appears in the History List Subscriptions section.

To send a report or document to multiple recipients

  1. To specify the users that will receive the report or document in their History Lists, click To. The Recipients Browser dialog box opens. By default, your user name is displayed in the To field.

  2. To select recipients, move one or more names from the list on the left to the To list on the right. Click OK when you are finished.

  3. To send the report or document to the recipients' History Lists immediately after creating the subscription, select the Run subscription immediately check box.

  4. Expand the Advanced Options.

  5. To ensure that newer versions of the report overwrite previous versions of the report in the recipients' History Lists, select the The new scheduled report will overwrite versions of itself check box .

  6. Do not deliver after: You can select a date when the subscription will expire. To do this, click the calendar and select a date.

  7. Allow recipients to change delivery settings: Select this check box to let the recipients make changes to the settings. For example, the recipient can change the prompt answers for the subscription or change the time of day the report or document is sent.

  8. Allow recipients to change personalization: Select this check box to let the recipients make changes to the personalization. This option allows the recipient to edit the subscription options.

  9. Allow recipients to unsubscribe: Select this check box to let the recipients unsubscribe from this scheduled delivery.

    : To change the subscription settings or unsubscribe, select My Subscriptions at the top of the page.

  10. If you want to have a delivery notification email sent when the delivery is sent, select the Send notification to each recipient's email address check box.

  11. Click OK to save and close. The Subscribe to History List dialog box closes. The file will be delivered to the specified recipients' History Lists on the specified schedule.
